Microsoft 365 Copilot: Small Business Now Pays Either Way

The short version: On July 1, 2026, Microsoft made Copilot a standard part of the Microsoft 365 plans small businesses actually buy. Business Standard with Copilot now lists at $23.50 per user per month, Business Premium with Copilot at $32, and the base plans went up whether you want AI or not. If your renewal lands after July 1, the question in front of you has quietly changed. It is no longer whether to buy AI. It is whether you are going to use the AI you are already paying for.

That sounds like a small distinction. It is not. It moves the decision from a budget meeting, where AI competes against a new truck or a hire, to an operations question that most owners never schedule time for.

What changed for Microsoft 365 Copilot on July 1?

Three things happened at once.

The base plans got more expensive. Business Basic went from $6 to $7 per user per month, up 16 percent. Business Standard went from $12.50 to $14, up 12 percent. Business Premium held at $22. Each plan picked up an extra 50GB of mailbox storage and some Copilot Chat capability, so it is not a pure price rise, but it is a rise.

The Copilot bundles became permanent. What had been a temporary promotional SKU is now a standing product: Business Standard with Copilot and Business Premium with Copilot, sold for one to 300 seats on annual billing.

And the bundles became the front door. Pull up Microsoft’s own Microsoft 365 business plan comparison page today and the plans it puts in front of you are Business Basic at $7, Business Standard with Copilot at $23.50, and Business Premium with Copilot at $32. The plain Standard and Premium tiers have not been abolished, but they are no longer what Microsoft shows you first. Copilot stopped being the upsell and became the default.

Is the Copilot bundle cheaper or more expensive?

Here is where the coverage has been lazy, and where the honest answer is more interesting than the headline.

Read the trade press and you will see this framed as an AI tax. For a business that wanted Copilot, it is close to the opposite. Before July 1, adding Microsoft’s enterprise Copilot to Business Standard meant $12.50 for the plan plus $30 for the add-on, roughly $42.50 per user per month. The bundle is $23.50. Microsoft also introduced a smaller SMB-specific add-on, Copilot Business, at $21 list.

So if you wanted AI on every desk, the price of that just fell sharply. If you did not, your base plan went up between 12 and 16 percent. Microsoft made the AI path cheaper and the no-AI path slightly dearer. That is a nudge, and a gentle one by the standards of enterprise software.

The catch is the phrase “on every desk,” and it is the whole ballgame.

Who should take the bundle, and who should skip it?

The bundle prices Copilot across every one of your Standard seats. Excellent value at $23.50 if most of those people have work AI can absorb. A bad deal if they do not.

Run it for a twelve-person landscaping company. Twelve bundled seats is $282 a month. Twelve plain Standard seats at $14, plus the $21 add-on for the three people who would actually open it, is $231. The selective route saves $51 a month, and does something more useful than save money: it forces you to name who the AI is for.

Flip it and the bundle wins. If eight of the twelve would use it, selective licensing runs $336, well above the $282 bundle.

Break-even sits near half your seats. Below that, license selectively. Above it, take the bundle. Nobody at Microsoft will run that calculation for you, and your reseller has no incentive to.

What is the risk nobody puts in the pricing table?

Copilot reads your company’s data using each employee’s existing permissions. It does not invent access. It inherits it.

For most small businesses that is the problem. Permissions in a ten-year-old SharePoint or Google Drive are usually sediment: old projects, departed employees, folders someone shared with “everyone” in 2019 to unblock a deadline. Nobody notices, because nobody goes looking. A tool that answers questions in plain English goes looking constantly.

The fix is not alarming. Before switching Copilot on, spend an hour checking what your most junior employee can currently open. If payroll, pricing, or client contracts show up, fix that first. You should fix it regardless of AI. Copilot just makes it visible faster.

Does this mean AI is coming for the admin job?

This is the reading we would push back on, and not out of optimism.

Bundled Copilot is not a headcount tool. It is not good enough to run a role, and Microsoft is not selling it that way. What it does competently is the retyping: the quote rebuilt from last month’s quote, the email thread someone has to read before a meeting, the spreadsheet reformatted every Monday. That work is real, it consumes hours, and almost nobody has it written down as a job.

The businesses that get value here will be the ones whose office manager stops spending Thursday afternoon on document archaeology and spends it chasing the four unpaid invoices instead. The ones that get nothing will be the ones that switched it on, told nobody, and renewed anyway.

Microsoft has also said it plans to consolidate its Copilot apps and add a paid tier for agents that run tasks in the background rather than waiting to be prompted. Worth watching, but it is not this month’s decision. This month’s decision is whether the seats on your invoice have a job.
